Privacy policy

Log information and cookies

When accessing the KCOA website, log information such as visited pages, time and date of access, internet protocol (IP) address, along with the browser and the operating system that you are using, is collected. This is to ensure effective and secure functioning of the website.

The KCOA database also uses cookies. Cookies are small text files that are stored locally in your browser cache for technical processing. Without cookies or when cookies have been deactivated in the browser, full use of the website is not possible. The website’s offline saving mode also relies on cookies.

Temporary session cookies are used each time you view an individual page, to make navigation easier. Temporary session cookies do not include any personal data and expire at the end of each session.

We do not use methods such as Java applets or ActiveX controls that make it possible to track your browsing behaviour.

Data is processed based on Art. 6 paragraph 1 e) of the European Union’s (EU) General Data Protection Regulation (GDPR) with the legitimate interest of analysing usage to improve the website.

User registration

The GIZ uses sensitive data such as users’ country of origin and gender, strictly for internal purposes such as M&E and in anonymized form. The GIZ will not share sensitive data with third parties that could potentially expose, compromise, or harm vulnerable groups. In the event of handing over the hosting of the Multiplier Network, GIZ will delete all sensitive data. For more information, you may consult KCOA’s Data protection policy.  

When you complete the registration process for the KCOA database, we process your first and last name, your position within or in relation to KCOA, your country and gender. The data is processed based on Art. 6 paragraph 1 a) of the EU’s GDPR for the purpose of running the KCOA database’s collecting, verifying and validating process; including setting correct user permissions. It is also processed to evaluate the contributing parties. By clicking on your registration link and completing the registration you agree to this process.

Data will not be passed on to third parties. You have the possibility to delete your user profile and, therefore, to erase all your personal information. Note, however, that all Knowledge Products that you have successfully uploaded will remain within the KCOA database.

Data is transmitted to the GIZ using an SSL-encrypted connection, which makes it significantly more difficult for unauthorised persons to intercept.

Recipients of personal data

  • Data are not passed on to third parties;

  • As a general rule, data will not be transmitted to third States. A third State is a State other than the EU Member States and the three EEA EFTA States (Norway, Iceland, and Liechtenstein) that have adopted a national law implementing the General Data Protection Regulation (GDPR).

Duration of data retention

Personal data are regularly deleted when:

  • They are no longer needed for contractual purposes (e.g., for service contracts);

  • Statutory data storage obligations and periods have expired.

User rights

You have the right to:

  • Be informed about processing of your personal data;

  • Have your personal data corrected if it is inaccurate and to have incomplete personal data completed;

  • Object to processing of your personal data;

  • Restrict processing of your personal data;

  • Have your personal data erased (the “right to be forgotten”);

  • Request access to your personal data and information about how we process it;

  • Not be subjected to automated decision-making including profiling.

You can exercise these rights and communicate your questions or complaints about this website by contacting KCOA at kcoa@giz.de. You also have the right to lodge a complaint with the responsible data protection supervisory authority. The responsible authority in this case is the German Federal Commissioner for Data Protection and Freedom of Information (BfDI).
